Winter Wonderland School Art Competition – Privacy Notice and Terms & Conditions
DATA PRIVACY: Your personal data will be processed and stored in the UK by the Controller, PWR Events Limited, a private limited company with company number 03827071 whose registered office is at Building 6, Chiswick Park, 566 Chiswick High Road, London, W4 5HR, for the purposes of administering the Prize Draw, notification of winning contestants and awarding prizes. TERMS AND CONDITIONS: By entering this the Hyde Park Winter Wonderland School Art Competition (“Competition”) you will be deemed to be bound by and have accepted these Terms & Conditions. This Hyde Park Winter Wonderland School Art Competition is open to all residents of UK aged 4 – 14 years of age.
Definitions:
Competition means the Hyde Park Winter Wonderland School Art Competition.
Consent means the consent of the Entrant School, such consent shall be deemed to have been given pursuant to a completed Consent Form completed by Entrants school.
Consent Form means the online consent form completed by the Entrant Schools.
Entrant means any individual aged 4 – 14 years of age who has had Consent to enter the Competition in accordance with the Terms and Conditions and who adheres to any relevant entry and eligibility requirements.
Entrant School(s) means any school which provides submissions to the Competition on behalf of Entrants.
Event means Hyde Park Winter Wonderland 2024/25.
Prize means the prize described in paragraph 7.
Promoter means PWR Events Limited, a private limited company with company number 03827071 whose registered office is at Building 6, Chiswick Park, 566 Chiswick High Road, London, W4 5HR.
Terms and Conditions means the terms and conditions set out in this document.
Winning Entrant means any of the Competition Winners pursuant to paragraph 6.
Terms and Conditions:
- The Promoter will invite schools to enter the Competition via email at 12pm BST on 2nd September 2024. The Competition will close at 5pm BST on 8th October 2024 (“Closing Date”). Only entries (i) and the accompanying completed Consent Forms (ii) delivered to the provided address by 5pm BST on the Closing Date will be accepted.
- Consent by the Entrant School is a requirement for entry to the Competition. By completing the Consent Form, the Entrant School agrees to these Terms and Conditions on behalf of the Entrant and this Consent Form will be valid for all Entrants from the associated school.
- The Entrant School will obtain consent from each Entrant’s parent or legal guardian for the Entrant’s entry into the Competition and these Terms and Conditions and warrants to the Promoter that such consent has been obtained. The Entrant School will keep evidence that it has obtained consent pursuant to this paragraph and will provide the Promoter with such evidence upon request.
- The Competition is free to enter and no purchase is necessary.
- For an Entrant’s entry to be deemed valid, it must include the following:
- Design a piece of Artwork on A4 paper, in either pencil, ink or paint (“Artwork”) with the following brief: Design your own Hyde Park Winter Wonderland.
- Clearly state the name, age and Entrant School name on A4 Paper.
- Post the artwork in an A4 Envelope, without a postage stamp, to the following address: Freepost ART COMPETITION HPWW (the “Delivery Address”). All capital letters in the address must be written out as capitals on the envelope for free postage to qualify.
- The Entrant’s School, as recorded on the Entrant’s Artwork, must have completed an Consent Form.
- All qualifying entries will be judged from mid-October to early November 2024. Judges will pick a Gold Winner, Silver Winner and Bronze Winner within each age category of the following age categories: (i) 4-5 yrs (ii) 6 – 8 yrs (iii) 9-11yrs (primary), (iv) 11 – 12yrs (secondary), (v) 13-14yrs (the “Competition Winners”). Each of the Competition Winners will be notified via their School on Monday 21st October 2024 via email. The judges’ decisions shall be final and binding in all matters and no correspondence will be entered into.
- The Competition Winners shall each receive:
- Gold Winners: (i) £250 voucher for art supplies to be spent by the winning entrants school. (ii) Specified Ticket Package for a class of 30 students for Winning Entrant’s school (30 x Entry, 30 x Ice Slide and 30 x Ice Skating (subject to availability)) OR (30 x Entry, 30 x Giant Wheel and 30 x Magical Ice Kingdom (subject to availability)) (iii) 4x tickets to the event’s Charity Preview Night on Wednesday 20th November 2024 for the winning entrant and their family. (iv) Posted to Winning Entrant’s school – Certificate of prize and Winter Wonderland official merch that will be confirmed once prize has been won (v) Winning artwork displayed at the event.
- Silver Winner: (i) Specified Ticket Package for 4 people for Winning Entrant and their family (4 x Entry, 4 x Rides, 4 x Magical Ice Kingdom and 4 x Ice Skating (subject to availability)) OR (4 x Entry, 4 x Rides, 4 x Zippos and 4 x Ice Slide (subject to availability)) (ii) Posted to Winning Entrant’s School – Certificate of prize and Winter Wonderland official merch that will be confirmed once prize has been won (iii) Winning artwork displayed at the event.
- Bronze Winner: (i) Specified Ticket Package for 4 people for Winning Entrant and their family (4 x Entry and 4 x Magical Ice Kingdom (subject to availability)) (ii) Posted to Winning Entrant’s School – Certificate of prize and Winter Wonderland official merch that will be confirmed once prize has been won (iii) Winning artwork displayed at the event.
- All Entrant Schools that enter a minimum of 20 entries will be entered into a ballot to win a Ticket Package (6 x entry tickets and 12 x ride tokens). Entrant Schools that win in the ballot will be informed of the win on Monday 21st October 2024 via email. The winning Entrant School must get in contact with [email protected] a minimum of seven (7) working days prior to preferred date of ticket redemption, all subject to availability.
- The Winning Entrant’s school must provide the Winning Entrant with their certificate and official merch prize that will be posted to the Winning Entrant’s school.
- The Winning Entrant’s school must inform the guardians of the Winning Entrant of their win and ensure that the Winning Entrant’s certificate is provided to the guardian, which details information on how the guardian can to redeem their family Ticket Package to Hyde Park Winter Wonderland prize on behalf of the Winning Entrant.
- The Winning Entrant’s school must provide the Winning Entrant with their certificate and official merch prize that will be posted to the Winning Entrant’s school.
- In order for the Gold Prize Winner Entrant’s school to redeem the Winning Entrant’s prize of a 30 student Ticket Package to Hyde Park Winter Wonderland, the school must get in contact with [email protected] a minimum of seven (7) working days prior to preferred date of ticket redemption, all subject to availability.
- In order for the Gold Winning Entrant to receive their 4 x tickets to the event’s Charity Preview Night on Wednesday 20th November 2024, they must get in contact with [email protected].
- In order for the Winning Entrant’s guardian to redeem the Winning Entrant’s prize of a family Ticket Package to Hyde Park Winter Wonderland, the Winning Entrant’s guardian must get in contact with a minimum of seven (7) working days prior to preferred date of ticket redemption, all subject to availability.
- In the event of the Competition Winners not being able to accept the Prize, no alternative or replacement Prize will be offered.
- The Promoter reserves the right to offer an alternative prize of the same or higher value, where it becomes necessary to do so, as decided by the Promoter in its sole discretion.
- In the event that the Winning Entrant’s school does not contact the Promoter to accept the Prize within seven (7) working days of the email being sent, the Prize will be forfeited and the Promoter will pick a replacement Prize Winner from the remaining Entrants.
- The Prize will also be forfeited if, at any time, the Prize Winner is found to have been ineligible to enter the competition.
- The Prize is non-transferable, non-exchangeable and no cash alternative to the Prize is available.
- Participation constitutes an Entrant’s (and an Entrant School) full and unconditional agreement to these Terms and Conditions.
- By entering the Competition, each Entrant grants the Promoter a worldwide, sole, royalty-free perpetual and irrevocable licence to use the copyright in their entry/Artwork in order to assess all entries. Artwork received and to use on all Hyde Park Winter Wonderland channels and Hyde Park Winter Wonderland social platforms. Please note, for the avoidance of doubt, this licence fully reserves the right of the Entrant to fully exploit the copyright themselves.
- By entering the Competition each Entrant (and each Entrant’s parent(s)/legal guardian(s)) agree that (i) the Artwork may be used by the Promoter in any associated publicity, including the Promoter’s social media channels and website and (ii) the Artwork may be displayed at the Event together with the Entrant’s first name, age category and school name (such display will be available from Wednesday 20th November 2024 – Monday 5th January 2025 but the Promoter reserves the right to change these dates)
- The Promoter accepts no responsibility for damaged or lost entries/Artwork.
- The Promoter will be unable to return or keep entries/Artwork and so it is suggested to create a duplicate of the entry for keepsake.
- The Promoter reserves the right to withdraw an entry from the Competition at any time if the entry is deemed inappropriate for any reason.
- The Promoter reserves the right to withdraw an Entrant from the Competition if an Entrant is found to have breached any of these Terms and Conditions.
- Entries/Artwork should not contain any obscene, blasphemous or defamatory matter.
- Save in respect of personal injury, death or fraud, the Promoter shall have no liability whatsoever to any Entrant School or Entrant whether in contract, tort or otherwise, in connection with their entry or any other aspect of this Competition.
- Only entries delivered to the Delivery Address on or before the Closing Date and conforming to these Terms & Conditions are eligible to participate. No responsibility can be accepted for entries that are not properly received due to communications beyond the Promoter’s control or for entries that are incorrectly submitted, incomplete or received after the Closing Date.
- This Competition is not sponsored, administered or associated with social media platform(s); any enquiries in relation to it should be addressed to Hyde Park Winter Wonderland
- The decision of the Promoter regarding any aspect of the Competition is final and binding in all matters and no correspondence will be entered into.
- These Terms and Conditions, and all aspects of the Competition shall be governed by English law and shall be subject to the jurisdiction of the courts of England and Wales.
- The Promoter reserves the right to alter these Terms and Conditions of the Competition.
- The Promoter reserves the right to cancel the Competition at any time, if deemed necessary or if circumstances arise outside of the Promoter’s control.
